Managing administrative operations for any medical care office or facility can become overwhelming and messy quite fast with the number of documents that are processed daily. To best handle the inflow and outflow of paperwork throughout the day, an organization should be considered a high priority for administrative staff. The best way administrators can maintain organization for their medical office or facility is using the full suite of tools available within Microsoft Excel. There are essential Excel tools healthcare administrators should use to best maximize their ability to maintain organization within the business.
One of the essential excel tools healthcare administrators should use is finding duplicate values in Excel. There are many different use case scenarios for leveraging this skill. One example is if you encounter a scenario where you have two lists of patient IDs. You need to find out what the differences are between the lists. To start comparing values between the two lists, you need to highlight the data on both columns, excluding the header. With the home tab selected, click on conditional formatting, then highlight cell rules, then duplicate values. At this point, you are presented with a box that shows you a color scheme to call out duplicates. Now simply hit OK. Your results will be shown to you and you can quickly identify the duplicate values.
Another skill healthcare administrator should use is Excel data formatting. Often, healthcare administrators may be analyzing related healthcare data and the need to change the way the data is displayed will come up. One example of when Excel data formatting is needed is when reviewing medical records. Some organizations have the policy to set all MRNs at 10 digits. This means we need to pad the above values with leading zeros. To do this, highlight the column or values you need to work with and right click. Select format cells. The format cells box will appear. Next, select custom and type in exactly 10 zeros. At this point, you will have numbers that have been padded to fill in any variable lengths to 10 digits. Click OK to see that your MRNs are now padded to 10 digits.
These are two of the many Excel skills that are essential for healthcare administrators should be using to help manage the business. Oftentimes, it is extremely beneficial to take courses and learn these skills and apply them back within one’s career. However, healthcare administrators are busy and may not have the time to learn all the skills needed to best use Excel to support their needs within the office. In that case, it is better to outsource the work and rely on a professional that already has the skills ready to go.
